Apostille Document Guidelines

Document Authentication:

High Schools:

  • Transcripts must be signed by Principal or Vice Principal. This needs to be a special request, the Principal usually does not sign transcripts.
  • Diploma's are signed by the Principal or Vice Principal (asst.). You can make a copy of the Diploma only and have it notarized by a Washington State Notary Public.
  • Both must have the School Seal

 College/University:

  • Transcripts must be signed by Registrar, Associate Registrar, Interim Registrar, President or Vice President.
  • Diploma's are signed by the President or Vice President.You can make a copy of the Diploma only and have it notarized by a Washington State Notary Public, as true and correct copy or you may have the registrar sign it in place of a Notary.
  • Both must have the School Seal

Washington State Center for Health Statistics:

  • Birth, Marriage, Death, Divorce Decree, and Single Status Certificates.If you call 360-236-4313 let them know what documents you need and what country your are dealing with. If ordering by phone with a credit card you can pay for both the record, and the Apostille or Certificate, they will also have options on how to receive your documents.
  • Certified by State Registrar, Health Officer
  • These documents do not need to be notarized

County Health Departments:

  • County Health Departments provide birth and death certificates.
  • They are certified by the Health Officer, Directors of Health Districts
  • These documents do not need to be notarized

State and County Officials:

  • Must be recognized as officials in the State of Washington
  • Corporation Documents
  • County officials and their authorized representatives from Washington State Counties (Deputy Clerks, Deputy Auditors, Records Officers, Health Officers/Registrars)
  • County Auditors are who you call for Certified Copies of Marriage Certificates
  • Clerk, Superior Court Clerk, are who you call for Divorce Decree, and some counties have Singles Status (for that county only)

Federal Documents:

  • Our office does not notarize or authenticate Federal Documents
  • Our office does not notarize or authenticate Certificates of Naturalization
  • Military Notaries  must be processed in Washington D.C. at the US Department of State.
  • Our office does not notarize or authenticate Federal Bureau of Investigation (FBI) Clearances
