(Note from the Washington State Library:  In order to participate in the Spring 2000 Washington State Databases Trial, each vendor was asked to address questions the Statewide Database Licensing Committee felt were most critical in order for library staff to evaluate products and vendors.  Please contact the vendor's representative, listed below, for additional information on this product.)

1. Describe the database product and unique aspects of your interface. Include information on subject scope, percentage of full-text, dates of coverage, target audience (including age ranges), and how often the contents are updated.  

Ovid's mission is to support and improve information access for researchers, clinicians, and students in scientific, medical, and academic communities worldwide by providing innovative and inter-linked text retrieval software and database solutions.

Traditionally our target audience for medical content products has been the medical librarian, information professional, or researcher. Increasingly, end-user clinicians have been using our products, and EBMR (released in 1998) was our first content product to specifically target these users. With Ovid On Call, our clinical platform currently in development, we are building an Ovid environment that's specifically tailored in terms of content and functionality for use by the clinician in a clinical setting. We hope to make Ovid On Call available to end-user clinicians not only at our existing customer sites, but also at sites that are purely clinical such as hospitals that are not affiliated with a medical school and don't have libraries.

Produced by CINAHL Information Systems, The Nursing & Allied Health (CINAHL) database provides comprehensive coverage of the English language journal literature for nursing and allied health disciplines. Material from over 950 journals are included in CINAHL, covering fields such as cardiopulmonary technology, emergency services, health education, med/lab technology, medical assistance, medical records, occupational therapy, physical therapy, radiologic technology, respiratory therapy, social sciences, surgical technology, and the physician's assistant. Also included are healthcare books, nursing dissertations, selected conference proceedings, standards of professional practice, and educational software. There is selective coverage of journals in biomedicine, the behavioral sciences, management, and education. The database currently contains over 250,000 records.

On the Ovid platform, bibliographic resources include advanced features like precision vocabulary mapping, database-specific search limits, integrated graphical thesauri and tools, linking to full text journal articles, and many others. These value-added features take full advantage of the databases' inherent structures and functionality, and are designed to make searching as effective, targeted, and easy as possible for the user.

2. What are the hardware and software requirements for using all the features of the product?

All the end user needs is a computer terminal with an internet or online connection, and a web browser, either Microsoft Internet Explorer or Netscape Navigator 3.0 or above.

3. Is remote access included for the subscription price?  If there are additional charges or requirements in order to offer remote access, please describe.   What methods of remote access are supported?

Ovid offers remote access to online accounts via web, VT100, JAVA, or client interface. There is no additional fee for remote access to the account.

4. Please discuss any methods or assistance you offer regarding remote access patron verification and authentication.

Ovid offers user ID and password authentication as well as IP validation services. Our technical support staff is available twenty-four hours a day, seven days a week to provide assistance to patrons concerning verification and authentication of their accounts.

5. What end user delivery options, such as printing, emailing or faxing results, are available beyond just viewing results on the computer monitor?

Ovid's citation manager allows the end user to select specific citations in a search result and set them for printing, displaying on-screen, saving, and emailing. Options for each function-such as field selection, different output formats, two sort keys, and more-provide a high degree of flexibility. You can also use the browser's save and print features as well.

6. What customer training is provided, and at what cost?

Ovid offers online help for each of its products free of charge. We also offer demo access to database at no fee to the consumer. There is a host of instructional documentation in a variety of formats available via the Ovid homepage at http://www.ovid.com/dochome/doctop.htm (including Field Guides, Quick Reference Cards, etc.).

Ovid has instructors that will set up training sessions for institutions. The cost for on-site training is $750 per day. Travel expenses, (plane, rental car, hotels, meals, etc.) will be billed at cost.

7. What customer and technical support is provided, including hours of operation.

8. Describe the statistics you provide, and discuss whether your statistical reporting complies with guidelines developed by the International Coalition of Library Consortia which may be found at www.library.yale.edu/consortia/webstats.html .

9A.  Describe your pricing structure for individual libraries.

(Note on March 17:  The Washington State Library staff will continue to work with Ovid to obtain an indicator of pricing for CINAHL.  Please check back.)

As noted above, in general, there are two components to pricing Ovid products: the database license and the Ovid software charge. In some few cases the database publisher has developed pricing models for consortia (e.g. CINAHL). In most cases, however, publishers have to be approached with details of the libraries that are interested in licensing the database, providing such information as name/address/contact for each institution, and a size indicator (usually FTE). The publisher than provides Ovid with a custom quote for that specific group. Typically publishers have different pricing models for academic libraries, corporate libraries, and government libraries.

Because of the (extreme) variation in pricing models among the over 80 database producers offered by Ovid, it is not possible to discuss pricing in the absence of more detailed information from prospective libraries. Once there is an indication of the number of libraries interested in specific products, we would be happy to provide pricing.

The Ovid software charge is an annual, concurrent user-based charge, and will vary depending on the size of the institutions and the number of databases licensed. In some cases Ovid provides "package" pricing which bundles together the software charge with the database license charges.

9B.  Describe your pricing structure for a group purchase.  Please explain the basis for your pricing for a group purchase. What conditions must be in place for a discount to occur?

Ovid Technologies has extensive experience handling consortiums and group purchases. Portals, Kaiser Permanente, ILSCO, and TEXSHARE are just a few of the consortiums that we have dealt with. Due to the variations in pricing models and configurations, it is not possible to discuss pricing without more detailed information about the groups configuration and the specific products in question.

10.  Please clarify how you would treat existing library customers with regard to a group purchase.

Existing Ovid customers may join into a group purchasing or a consortium agreement outside of their individual contracts. Contracts may be negotiated between the individual institution or the central organization, depending on the configuration of the group. End users of the institution may be able to access products from both contracts, provided it is technically possible for the site. The feasibility of such configurations are determined by our technical support staff in Utah.

11.  Please indicate whether libraries from Oregon, Idaho, Alaska and/or Hawaii would be eligible to participate in the group buying process.
