Improving State Agency Records Retention Schedules

To better assist state agencies in the retention, destruction, and transfer of their electronic and non-electronic public records, Washington State Archives is implementing improvements to records retention schedules.

For additional information on the new process effective January 1, 2012:

Upon request, Washington State Archives will populate the worksheet with all of the current active agency unique series, do an intial analysis, and submit to agency for development of the new agency records retention schedule.

SUBMITTING AGENCY SCHEDULES or CHANGES TO APPROVED SCHEDULES FOR REVIEW:

To submit a completely new agency schedule in the new format for reveiw:

Complete the template for the new agency schedule (see below for form) and submit along with a completed Summary of Changes to recordsmanagement@sos.wa.gov

If you have a new approved agency schedule and want to make other changes/revisions/corrections:

Download the existing approved existing version in the WORD format located on the OSOS website, make the changes, and submit along with a completed Summary of Changes to recordsmanagement@sos.wa.gov.

Any new schedule and any and all changes (including corrections) will be submitted to the State Records Committee (SRC) for approval.  Inclusion on the SRC agenda depends on the scope and complexity of the submitted schedule for review.

An informational session was held on August 17 at L & I in Tumwater to assist state agencies in the improvements and development of state agency records retention schedules. The following materials were presented at this first session.
